1. What this policy covers
This policy covers the Zero Fuss Calls website, trial enquiries, contact requests, onboarding and the receptionist service. It applies to business contacts, website visitors and callers whose information is handled through a customer's receptionist setup.
2. Information we collect
Website, trial and contact information
- Your name, business name, work email, Australian mobile number, trade or service and the contents of messages you send us.
- The request ID, source, consent wording version and submission time attached to a form submission.
- Basic technical and security information such as IP address, browser details and request logs generated by our website or hosting provider.
Customer and call information
- Business services, service areas, opening hours, approved prices, booking rules, escalation contacts and integration settings supplied during onboarding.
- Caller names, callback numbers, addresses, job details, availability preferences, safety information and the outcome of a call where needed to handle the enquiry.
- Call event, transcript or recording data only where the customer setup enables it and the required disclosure and consent rules have been approved.
We do not ask for payment card details during the free trial.
3. Why we collect and use it
- Respond to trial, support, privacy and demo-abuse requests.
- Configure and operate the receptionist according to the customer's approved rules.
- Qualify calls, create bookings or callbacks, follow escalation paths and produce structured outcomes.
- Protect the website and demo from spam, misuse, duplicate submissions and unsafe activity.
- Investigate service failures, complaints and security incidents.
- Meet legal, accounting and regulatory obligations.
We do not sell personal information. We do not currently use advertising cookies or a production analytics service on this website.
4. Who processes information
Trial and contact submissions are sent to a private Slack workspace so the responsible person can review and respond. Vercel hosts the public website and processes the technical requests needed to serve and secure it. Customer service may also use the telephony, model, calendar and job-system providers approved for that customer's setup, including Google Calendar or Microsoft 365 where connected.
Some providers may process information outside Australia, including in the United States or other locations where they operate. We limit access to the information needed for the service and use provider security and contractual controls appropriate to the relationship.
5. Retention and deletion
- If a trial or contact enquiry does not become a customer relationship, we delete or de-identify the working record within 90 days after the last contact.
- If onboarding begins, relevant contact details move into the customer record and the temporary Slack copy is removed within 30 days after onboarding is complete.
- Customer account, service and call information follows the retention setting approved during onboarding and any period required for security, complaints, accounting or law.
- Security and abuse-prevention records are kept only for the period needed to apply the control or investigate an incident.
When information is no longer required, we take reasonable steps to delete it or remove identifying details.
6. Security
We use encrypted connections, restricted account access, server-only credentials and private operational channels. No internet service can promise absolute security. If an incident affects personal information, we will investigate it and take the notification steps required by Australian law.
7. Access, correction and deletion requests
You can ask what personal information we hold about you, request a correction, ask us to delete information that is no longer needed or raise a concern about how it was handled. Use the contact form and choose the privacy topic. We may need to confirm your identity before acting on a request, but you do not have to use a particular form of words.
We do not charge for making an access or correction request. We will respond within a reasonable period and explain any lawful reason that prevents us from completing the request.
8. Privacy complaints
Send the complaint through our contact form with what happened, when it happened and the outcome you are seeking. We aim to acknowledge the complaint promptly, investigate it and provide a written response within 30 days.
If you are not satisfied after giving us a reasonable opportunity to respond, you may contact the Office of the Australian Information Commissioner.
9. Changes to this policy
We may update this policy when the product, providers or legal requirements change. The current version and date appear on this page. We will notify customers before a material change affects how their service information is handled.
